Customer success automation that spots churn before the renewal call

24 automations, $900 to $13,500 depending on scope. Every range is hours multiplied by our published $150/hour rate.

Churn almost never arrives as a surprise. It arrives as a pattern nobody was watching: logins down for two quarters, a couple of escalated tickets that never got followed up, the champion who left and got replaced by someone who's never been to a QBR. Then the renewal call happens and everyone acts shocked. A Customer Health Score Engine fixes the watching part, pulling product usage, ticket volume, NPS, and renewal proximity into one number that moves on its own. Pair it with Renewal Readiness Report, which compiles that history into a CSM briefing well ahead of the date, and the renewal conversation starts from evidence instead of vibes.

One caution about health scores, because we'd rather say it here than after you've paid for one. If you have no product usage data flowing anywhere queryable, your score gets built from ticket counts and last-contact dates, and that's a lagging indicator wearing a leading indicator's clothes. Fix the data plumbing first. When usage is available, the same inputs feed Expansion Opportunity Identifier, which watches for the seat-limit and volume patterns that mean somebody's ready to buy more. Same signal, opposite direction.

Customer onboarding is where churn actually starts. A customer who stalls at step three of implementation and doesn't hear from anyone until somebody runs a report is already gone; they just haven't told you yet. Onboarding Milestone Tracker escalates on stall rather than on schedule, and that distinction is the whole point. Over on support, Auto-Tag Tickets With Enrichment is the unglamorous winner: it stamps ARR, plan, and lifecycle stage onto the ticket so an agent knows in one second whether they're answering a trial user or your third-largest account. VIP Customer Escalation is the same idea with a war room attached.

Where off-the-shelf wins: Zendesk, Intercom, and HubSpot all ship CSAT surveys, SLA timers, macros, and basic routing rules, and if you own a dedicated CS platform its native scoring is probably good enough. Don't pay us to rebuild it. What those tools handle badly is the boundary into engineering. Support → Bug Ticket Creation opens a linked Jira issue from a reproduction-tagged ticket, and Bug Status → Customer Update Drafts closes the loop by writing the customer update when the bug moves, with a person approving before anything sends. That loop is where support promises go to die, and it's a two-system problem no single vendor solves for you.

Prices are published per item because we'd rather you self-qualify than sit through a discovery call to hear a number. The rate is $150 an hour and every tier is hours times that rate. Most items here land in Workflow, $2,400 to $6,000, two to four weeks. Ticket Deflection Bot or CSAT Follow-Up Workflow can come in at Starter, $900 to $1,800 over one to two weeks. A real Customer Health Score Engine wired to live product data is Orchestration territory, $6,000 to $13,500, because the hard part is the data model rather than the automation. Project minimum is $2,500. n8n by default, Make or Zapier if that's where your team already lives.

Questions

Before you book.

Should we just buy a customer success platform instead?
If you have five or more CSMs and a real product-usage stream, buy the platform. It'll beat anything we assemble, and we'll say that on the call rather than after the invoice. Below that headcount, the license plus implementation plus the admin who has to own it usually costs more than the two or three workflows you actually wanted. That's the case where health scoring and renewal alerts built on your existing CRM make sense.
How is this priced, and how long does a build take?
Every item on the page carries its band. The rate is $150 an hour, published, and the tiers are hours: Starter $900 to $1,800 in one to two weeks, Workflow $2,400 to $6,000 in two to four, Orchestration $6,000 to $13,500 in four to eight. Project minimum is $2,500. Most customer success builds are Workflow tier, and the calendar is usually driven by how fast we get API access, not by build time.
We don't have product usage data. Can we still do churn prevention automation?
Yes, with weaker signals and honest expectations. Support ticket volume and severity, CSAT and NPS trend, invoice and payment behavior, and engagement with the CSM all live in systems you already have, and that's enough to flag accounts worth a phone call. It won't catch the quiet account that simply stopped logging in. If that's your main churn mode, spend the money on getting usage events somewhere queryable first.
How do you keep automated customer emails from reading like automation?
By not sending most of them automatically. Bug Status → Customer Update Drafts is named that way on purpose: it drafts, a human sends. The exceptions are the transactional messages people expect anyway, like NPS Distribution & Routing, Changelog Notifications, and Customer Training Scheduling. Anything carrying an apology, a commitment, or a date goes through a person first. Customer Comms Compliance Gate is the regulated version of the same rule.
Can this touch our helpdesk and our CRM at the same time?
That's the normal shape of the work. A typical build reads Zendesk or Intercom, writes to HubSpot or Salesforce, posts to Slack, and keeps Jira in the loop for bugs. n8n handles that natively, which is why it's our default. The constraint is rarely the connector. It's permissions: someone on your side has to create API credentials with write scope, and that approval usually takes longer than the build.

Which of these is costing you most?

Tell us what your team is doing by hand and we'll tell you what it would take to stop, including the ones you'd be better off buying off the shelf.
