Marketing Operations

Marketing operations automation that keeps lead capture and attribution honest

16 automations, $900 to $13,500 depending on scope. Every range is hours multiplied by our published $150/hour rate.

Attribution reports don't lie so much as they compound small errors upstream. A rep types the source field by hand. A paid campaign ships with utm_source=LinkedIn on Tuesday and linkedin on Thursday. A form on a landing page writes to a HubSpot property the Salesforce sync doesn't map. Six weeks later somebody is defending a channel mix in a board deck, assembled from four different spellings of the same campaign. Attribution Reporter is the visible fix, but UTM Validator is the one that makes the report true, because it catches the bad tag at capture instead of reconciling it a quarter later.

Lead Capture → CRM Syncer sounds like the boring item on the list. It's the one that leaks money. Forms break quietly: a field gets renamed, a webhook 404s for nine days, a Calendly booking never creates a contact, and nobody notices, because there's no error state for a lead that simply never arrived. We build the sync with a dead-letter queue and an alert wired to it, so a failed submission shows up in Slack that hour instead of in a pipeline review next quarter. MQL → SQL Handoff sits right behind it: the notification, plus enough context (pages viewed, form answers, firmographics) that the AE doesn't open with a question the lead already answered.

Most of our marketing ops buyers are agencies and professional services firms between 20 and 100 people, and the pattern repeats. HubSpot doing more than it was ever set up to do, a Zapier account with forty zaps nobody documented, and one person who understands all of it. Email List Hygiene Bot and Lead Nurture Orchestrator get asked for constantly. Event work is its own cluster: Event Registration Workflow through Post-Event Follow-Up Orchestrator, with Event Attendee Enrichment in the middle, because the badge-scan file you get on the last day is a name, a company, and nothing else worth acting on.

If HubSpot Marketing Hub already does the thing, we'll tell you on the call. Workflow branching, list suppression, and basic lead scoring are native features, and paying us to rebuild them in n8n is a bad trade for you. What isn't native: joining GA4 sessions to closed-won revenue in a warehouse, keeping two CRMs in sync after an acquisition, and anything touching a system with no HubSpot integration. That's where a build beats another subscription.

Pricing is hours times $150 and the bands are on the site. UTM Validator or Review Alerter is Starter work: $900 to $1,800, one to two weeks. Lead Capture → CRM Syncer with routing, dedupe, and failure alerting is Workflow at $2,400 to $6,000. A real Attribution Reporter, GA4 plus CRM into a warehouse with a dashboard on top, is Orchestration at $6,000 to $13,500 over four to eight weeks, and most of the early stretch is arguing about definitions rather than writing code. Project minimum is $2,500.

Questions

Before you book.

We already pay for HubSpot. Do we actually need a custom build?
Probably less than you think. Native workflows handle branching, suppression lists, lifecycle stages, and simple scoring, and we'd rather you use what you're licensed for. The gap shows up at the edges: systems with no HubSpot integration, attribution that needs GA4 session data joined to closed-won revenue, and anything crossing into Salesforce, Stripe, or your delivery tooling. That's the work worth quoting.
How long does an attribution build take, and what does it cost?
Attribution Reporter is Orchestration-tier: $6,000 to $13,500 over four to eight weeks, at $150 an hour. The pipeline isn't the slow part. Agreeing on what counts as a touch, how you weight self-reported source against tracked source, and whether opportunity-created or SQL date anchors the model takes longer than the code does. Smaller pieces like UTM Validator start at $900. Project minimum is $2,500.
Our Zapier account is a mess. Do you clean it up or replace it?
Both happen. First pass is an inventory: what's running, what's firing on nothing, what silently stopped months ago. Plenty of zaps are fine and should stay. The ones worth moving to n8n are the multi-step ones with branching, retries, or per-task costs that have gotten silly. n8n is self-hostable and priced per execution rather than per task, which changes the math on high-volume lead capture.
How do you stop attribution from breaking again three months later?
Validate at capture instead of cleaning up after. UTM Validator flags or blocks traffic arriving with a malformed or missing tag, so the bad data never lands in the CRM in the first place. The sync then writes source fields programmatically rather than leaving them to a rep's dropdown habit. Anything that fails raises an alert, which is how you find out a form broke on the day it broke.
Which platforms do you build in?
n8n is the default and it's self-hostable, so execution data can stay on your infrastructure. We also build in Make and Zapier when a team already lives there and has no appetite to move. On the endpoints: HubSpot, Salesforce, GA4, Stripe, Slack, Google Workspace, and most things with a workable API. If a tool in your stack has a bad API, that surfaces during scoping and we say so before you commit.

Which of these is costing you most?

Tell us what your team is doing by hand and we'll tell you what it would take to stop, including the ones you'd be better off buying off the shelf.
