Use case · Manufacturing & Distribution

Automation for manufacturers and industrial distributors.

Your ERP holds the system of record. Your CRM holds the customer relationship. Your shop floor runs on email and printouts. We build the orchestration between them — sales order, procurement, fulfillment, and AP — so growth doesn't mean adding admin headcount per warehouse.

Tell-tale signs

If you've grown past $10M revenue, you've felt these.

Manufacturing and distribution ops walls show up around the $10–50M revenue mark:

Sales orders are re-keyed

PO comes in via email/EDI/portal. Sales rep types it into the ERP. Mistakes compound — wrong part numbers, wrong quantities, wrong ship-to. Each error costs hours downstream.

Quote-to-order takes a week

Customer requests a quote. Estimator pulls from a spreadsheet. Engineering reviews. Quote sent. Customer accepts via email. PO arrives. Order re-keyed into ERP. No single thread.

Vendor PO management is email-based

Purchase orders go via email or fax. ASN responses come back inconsistently. Receiving doesn't know what to expect. AP doesn't know what arrived. Three-way match is a nightmare.

Shop floor status is invisible

Job status lives in someone's head, on a printed traveler, or in the foreman's pocket. Customer service can't answer 'when will my order ship?' without walking to the floor.

Highest-ROI automations

What we ship most often for manufacturing + distribution teams.

Built around your ERP (NetSuite, Acumatica, Epicor, SAP Business One). We extend it with workflow orchestration the ERP doesn't natively run.

Sales order automation

POs ingested from email, EDI, portal, or PDF → AI-extracted and validated → matched against customer record + product catalog → entered into ERP with exception flags. Cuts data entry to exception-only.

Quote-to-cash workflow

Quote request → estimator workflow → engineering approval routing → customer presentation → e-signature → automatic order creation. Replaces 3 email threads with one pipeline.

Vendor PO + ASN management

PO generation, transmission, ASN tracking, receiving validation, three-way match automation. Reduces AP cycle time and surfaces vendor performance issues in real time.

Inventory + replenishment alerts

Multi-location inventory monitoring with reorder triggers, safety stock alerts, slow-moving inventory flags, and BOM-aware demand forecasting. Pushes to ERP + Slack as actionable signals.

Shop floor status visibility

Job traveler scans → real-time status push to customer portal + CRM. Sales and CS can answer 'when will it ship?' without walking to the floor. Cuts inbound status calls dramatically.

Compliance document automation

Certificates of conformance, material certifications, ISO documentation, country of origin — generated on shipment, archived for retention, made searchable for customer requests.

Composite example

Industrial distributor with $35M revenue — order entry cycle cut 78%.

The setup

Mid-market industrial distributor. ~1,800 SKUs across electrical and mechanical components. NetSuite ERP, Salesforce CRM, 6 inside sales reps spending 40% of their week on order entry. PO sources: email (60%), portal (25%), EDI (15%). Order entry errors averaged 4.2%, each costing 2.5 hours downstream.

What we did

  1. 1Mapped order entry workflow across all three PO source channels
  2. 2Built AI document classification + extraction layer for email PO ingestion
  3. 3Integrated EDI provider directly to bypass manual EDI mailbox processing
  4. 4Built validation layer: customer matching, product catalog matching, pricing rule checks
  5. 5Created exception queue for orders requiring human review (≈12% of volume)

Composite of patterns we've seen in distribution engagements; not a single named client.

Outcome

Order entry cycle time
−78%
Order entry errors
4.2% → 0.4%
Sales rep capacity reclaimed
30% of week
Time-to-customer-confirmation
2 hrs → 8 min

Questions

Common questions for manufacturing & distribution.

Will this work with our ERP (NetSuite/SAP/Epicor)?
Yes, but the integration approach varies by ERP. NetSuite has the cleanest SuiteScript + SuiteTalk APIs. Epicor Kinetic has solid REST APIs. SAP Business One requires the Service Layer. Older SAP ECC or on-prem JD Edwards is more complex — we'd scope discovery first.
Do you handle EDI integrations?
Yes. We work with SPS Commerce, TrueCommerce, B2BGateway, and direct AS2/VAN setups. EDI is its own beast (mapping, certification, trading partner onboarding) and we usually quote it as a separate phase.
What about MES / shop floor systems?
We integrate with MES platforms for status visibility, but we don't replace MES. If your shop floor runs on Plex, Tulip, MachineMetrics, or homegrown systems with APIs, we can pull status into customer-facing portals and your CRM.
Are you familiar with industry-specific compliance (ITAR, ISO, FDA)?
We're not industry compliance experts, but we've built workflows that respect ITAR controls, ISO documentation requirements, and FDA QSR. Your compliance officer drives the policy; we implement to support it with audit trails and controlled access.
